Kaanban Help Center & Documentation

Master high-velocity task boards, spatial canvas navigation, keyboard-first operations, custom visual themes, and local sovereign backup archives.

1. Board & Spatial Canvas Management

Columns, Work-In-Progress (WIP) Limits & Fluid Drag-and-Drop

Kaanban provides a high-framerate, physics-assisted visual canvas. You can organize your projects into distinct status columns (e.g., Backlog, In Progress, Review, Done) with custom column limits.

WIP LimitsSet maximum concurrent tasks per column to prevent bottlenecking.
Spatial Zoom & PanSmooth canvas panning with trackpad pinch gestures or middle-click drag.
Multiple BoardsSwitch instantly between project workspaces with zero loading latency.

2. Keyboard Shortcuts Cheat Sheet

Pro Keyboard Engine for Maximum Velocity

Kaanban can be driven entirely without touching your mouse or trackpad:

3. Workflows, Tags & Checklists

Subtasks, Color Categorization & Due Dates

Each task card can contain nested task items, Markdown checklists, priority indicators (Urgent, High, Medium, Low), custom color-coded tags, and target completion dates.

Card Attributes:
  • Tags: Type #tag inside titles or use the Tag Picker to assign color pills.
  • Subtasks: Add subtask checklists that track completion percentages directly on the card face.
  • Due Dates: Set milestone deadlines with non-intrusive local system notifications.

4. Visual Themes & Customization

Zinc Dark, Cobalt Deep, Obsidian Purple & Clean Light

Customize the ambient aesthetic of your task workspace. Switch between preset color themes in Settings > Appearance:

Cobalt DarkDefault Pro Blue
Zinc MinimalMonochrome Focus
Obsidian PurpleDeep Nebula

5. Sovereign .kaanban Archives

Single-Board & Full Workspace Migration

Kaanban stores your workspace locally. You can export individual boards or your complete workspace into portable .kaanban files.

How to Migrate to a New Mac or iPhone:

  1. In Kaanban, click Board Menu > Export .kaanban Archive.
  2. Send the exported file to your new device via AirDrop, local network, or USB.
  3. On the target device, open Kaanban > Import Board Archive.
  4. The board will import with all cards, tags, subtasks, and layout coordinates preserved.

6. Local SQLite Engine & Performance

Zero-Latency On-Device Architecture

Unlike web-based Kanban tools that require cloud roundtrips for every card move, Kaanban writes directly to a high-performance local SQLite database. Card state modifications persist in under 2 milliseconds.

  • WAL Mode EnabledConcurrent reads and instant write commits without UI stutter.
  • 10,000+ Cards ScalabilitySpatial virtualized rendering ensures smooth 120Hz scrolling regardless of board size.

7. Troubleshooting & Recovery

Board Repair & Support Escalation

Issue: Board Card Display Anomaly

Select Board Menu > Repair View Layout. This resets visual grid coordinates without deleting any cards.

Issue: Export Archive Parsing Error

Verify that your Kaanban app version on the importing device is equal to or higher than the version used to export the archive.
